IDAHO FLOOR SUPPLY — TERMS AND CONDITIONS
Contract Formation. By providing a deposit or approving the estimate via email, you enter into a binding contract with Idaho Floor Supply (“IFS”) on these Terms and Conditions. These Terms and Conditions, together with the estimate/invoice, constitute the entire agreement and supersede all prior discussions. No other terms apply unless accepted by IFS in writing. Returning customers must ensure any outstanding invoices are paid in full before new work can begin. IFS may refuse service or cancel a contract if the customer engages in abusive, threatening, or uncooperative behavior, or if the project poses safety risks.
Estimates; Changes. Estimates are based on visible conditions at the time of measurement and may be withdrawn if not accepted within 10 days, or updated to reflect current pricing. Unforeseen issues discovered during installation may result in additional charges or require a change order. Any services not specified in the quote are excluded from the scope of work. Changes or additional work requested after the contract is signed must be submitted in writing and will incur additional charges; IFS will not proceed until a signed change order and any required deposit are received. In the case that the homeowner or contractor is not on-site during discovery of additions needed, a verbal phone confirmation will suffice.
Payment; Late Charges; Collection. Final payment is due upon substantial completion of the contracted labor. Failure to remit payment as agreed will result in the customer being responsible for all legal fees, collection costs, and any other expenses incurred in the recovery of the outstanding balance. Invoices more than 30 days past due will accrue interest at 11.5% per annum. Upon reasonable completion, disputes or failure to pay for services rendered, as agreed in the estimate and/or invoice, will void any warranty provided for the entire job.
Materials, Overages, and Returns. For all flooring supply and installation bids, IFS automatically adds a minimum of 10% extra material for cuts and overages. For patterned installations, herringbone patterns, or multi-width materials, a higher overage percentage will be applied. This overage is non-negotiable and is required to complete the job without needing to reorder materials. Any unused extra material will not be returned or refunded. Once materials are ordered, they cannot be returned, and no refunds or returns will be issued. All sales are final, and materials are non-returnable. In the event IFS, at its sole discretion, chooses to accept a return of materials, a minimum restocking fee of 25% of the purchase price will apply.
Customer-Provided Materials. IFS generally does not install customer-provided materials, except in rare circumstances at IFS’s sole discretion. If IFS agrees to such an installation, IFS will not be responsible for any defects, shortages, or related issues, and no warranty will be provided for labor or materials. Any delays or additional costs arising from customer-provided materials will be the customer’s responsibility.
Customer Responsibilities; Product Selection; Permits. The customer is solely responsible for selecting and confirming the style and color of their flooring. The item listed on the estimate or invoice will be the item ordered, and any changes must be addressed by the customer prior to ordering. The customer is responsible for obtaining all necessary permits and ensuring compliance with local building codes and regulations. IFS will not be held liable for fines, penalties, or delays resulting from the customer’s failure to secure proper permits.
Site Conditions; Acclimation; Manufacturer Requirements. Proper acclimation conditions must be met, followed, and maintained before, during, and after installation. The customer is responsible for ensuring that job site temperature and humidity levels remain within the manufacturer’s specified ranges. Failure to maintain proper acclimation conditions can void the manufacturer’s warranty, and IFS will not be held responsible for any resulting defects, failures, or warranty denials. For new hardwood installations, materials must be delivered and placed inside the home (not the garage) at a temperature above 65°F for approximately five days prior to installation; HVAC systems must be operational before material drop-off and remain running continuously throughout acclimation and installation. For rigid core/SPC products, the installation area must be maintained at normal year-round conditions for at least one week prior to, during, and after installation; product must never be installed below 65°F or above 85°F. The customer is responsible for all subfloor preparation and for ensuring the subfloor meets the product manufacturer’s requirements (including moisture, pH, flatness, and structural standards). IFS does not accept responsibility for damage or failure caused by excessive moisture, alkali, hydrostatic pressure, or inadequate subfloor preparation. Additional or aftermarket underlayment must not be used where the product includes an attached pad; use of additional pad voids the product warranty in full. Please reach out to Idaho Floor Supply for the specific acclimation information provided by the manufacturer of your floor.
Installation Sites; Cleaning. Installation sites are considered construction zones. While IFS takes steps to minimize dirt and dust, cleaning will be required after the work is completed. IFS does not provide or pay for cleaning services. A minimum fee of $300 will be applied if areas are not clear and ready for installation, or if IFS is unable to gain access to perform services. In some cases, unforeseen circumstances may require IFS to return at a later date to complete the installation, and additional trip charges may apply if multiple visits are necessary due to circumstances outside of IFS’s control.
Emergency Work. Any and all emergency work performed by IFS will incur a $250.00 per hour charge, regardless of scope of work.
Property, Furniture, and Existing Features. IFS is not responsible for any damage to furniture, appliances, or existing home features, including walls, baseboards, toe kicks, flooring, or other structures. IFS does not move pianos, grandfather clocks, electronics, or non-stock furniture unless explicitly specified in the estimate or invoice. All furniture, cords, and wall hangings in or around the work area must be removed prior to installation. If furniture has not been moved prior to arrival as agreed, a furniture moving charge will be applied to the invoice accordingly, and the customer agrees that IFS is not liable for any damage. IFS is specifically not liable for damage to any items or objects in, around, or on the walls surrounding the work area, or along the access path from IFS’s truck to the installation area.
Baseboards, Moldings, and Touch-Ups. IFS will remove and replace baseboards and toe kicks as a courtesy where they obstruct the work, but does not perform touch-ups. The customer is responsible for arranging repairs or touch-ups for any baseboard or toe kick that breaks during the process, and for hiring a painter for caulking and painting as desired. If IFS rehangs baseboards, it will do so only with finish nails.
Utilities and Power. All hardwood installation and finishing jobs require a 220V power source (e.g., a dryer outlet). If the customer does not have one, the customer must hire an electrician to install a spider box at the customer’s expense.
Plumbing, Toilets, and Water Sources. Toilets may need to be removed and replaced when they obstruct the work area. If the customer chooses not to hire a plumber to reseat the toilet, IFS will charge a minimum $200 fee, replace the wax seal, and reseat the toilet; by proceeding, the customer agrees that IFS is not liable for any leaks, parts failures, or other existing, newly evident, or undiscovered problems with the toilet. As a courtesy, IFS may disconnect and reconnect icemakers or dishwashers when they are in the way; the customer agrees that IFS is not responsible for any leaks resulting from reconnection, whether newly evident or pre-existing. IFS strongly advises hiring a professional plumber for any water-related issues, as IFS is not a plumbing contractor.
Children, Pets, and Plants. No minors may be left alone or unsupervised while IFS is on site. As a policy, IFS will not enter a home or business if only a minor is present; if that occurs, the customer will be charged a minimum $300 fee and be rescheduled. No pets should be in the work area while IFS is working. IFS is not responsible or liable for any injury to minors, pets, or plants.
Limited Liability; Third-Party Trades. IFS will clean up its messes and any problems it causes. However, IFS is not liable for any services the customer asks IFS to perform that IFS has advised require other professionals (e.g., painters, plumbers, electricians), and the customer assumes all risk for such services. IFS is not liable for delays caused by outside contractors or forces beyond its control, such as supplier issues, shipping delays, weather, permits, acts of God, natural disasters, pandemics, or government restrictions. IFS will not proceed with any work that poses a safety risk.
Labor Warranty. The warranty on labor is limited to one (1) year from the date of completion and is the only warranty provided by IFS. Manufacturer warranties, if any, are provided solely by the manufacturer and are subject to the manufacturer’s terms, exclusions, and claim procedures. IFS makes no representation that the customer will qualify for or be able to satisfy any manufacturer’s warranty requirements; manufacturer warranties are administered solely by the manufacturer. IFS makes no separate or additional warranty, express or implied, including any implied warranty of merchantability or fitness for a particular purpose, to the fullest extent permitted by law. Any warranty remedy is limited to a single repair or replacement. IFS will not perform additional warranty work, regardless of the scope of the claim. Upon reasonable completion, disputes or failure to pay for services rendered, as agreed in the estimate or invoice will void any warranty provided for the entire job. All repair and/or warranty work will be completed during regular business hours.
Industry Standards; Inherent Characteristics. IFS adheres to industry standards, including the Carpet and Rug Institute Installation Standards and the North American Laminate Flooring Association Installation Guidelines. Carpet seams are a normal part of installation and are not guaranteed to be invisible, and gapping between laminate or rigid core planks may occur over time due to natural expansion and contraction. Color variation between samples, replacement material, and installed product is expected and is not a defect. Gloss reduction and surface scratches are not considered surface wear.
Expansion and Finishing Requirements. An expansion gap is required between the installed floor and any adjacent perimeter wall, vertical structure, or solid floor. If IFS does not reapply the baseboard post installation, the customer is responsible for replacing the baseboard in a timely manner. Failure to do so can cause planks to move, which may require IFS to return to repair the gaps; this will result in a $150 per hour repair.
Hardwood Finish and After-Care. IFS will attempt to match the existing sheen; however, old and new finishes will not look exactly alike due to changes in the old stain’s chemical composition over time from light, wear, and aging. The customer is responsible for ongoing care and maintenance in accordance with the product manufacturer’s care guidelines, including avoiding steam cleaners where prohibited, avoiding abrasive cleaners, and using proper floor protectors. After the hardwood is completed: The customer may walk on the floor 12 hours after the final coat in socks only. 24 hours after the final coat the customer may walk on the floors in shoes. 4 days after the final coat the furniture may be replaced (it is recommended that large dogs stay off the floors during this time as well). 2 weeks after final coat area rugs may be placed on floors. Please be aware that the hardwood staining and finishing process involves stains, sealers, and finish coats that produce strong odors and fumes. These fumes are normal and are a necessary part of the finishing process. The odor will be most noticeable immediately after each coat is applied—especially after the final finish coat—and can linger for several days as the finish cures.
Photographs and Video. IFS may take photographs or videos of completed projects for promotional purposes, and by approving the estimate or invoice, the customer grants permission for such use unless the customer requests otherwise in writing.
Website Information. IFS cannot be held liable for any inaccuracies or omissions on its website, and customers are encouraged to verify details with an IFS representative.
Severability; Governing Law. If any provision of these Terms and Conditions is held unenforceable, the remaining provisions will remain in full force and effect. These Terms and Conditions are governed by the laws of the State of Idaho.
Acceptance. By approving the estimate or providing a deposit, the customer agrees to all terms and conditions outlined above. If you have any questions or concerns, please contact IFS before proceeding.
